Minutes of Meeting

October 4, 2000

 

 

Present: Dean Gibson, Mike Girard, Andy Hobbs, Michele Curley, Bob Munro, Gary Payne, Joan Angrignon, Myna Moriega, Firth Bateman, Margaret Price, Winnie Palubiski, Amelia Werk, Anne Munro.

1. MINUTES OF PREVIOUS MEETING

The minutes of the meeting held July 5, 2000 were approved. Motion by Winnie Palubiski, seconded by Andy Hobbs. Motion Carried

3. REPORTS

Regional Director

Welcomed all back! Thought that on the whole the Regionals went really well. One major glitch was that the heat sheets were still being done on Thursday night. The reason being was what the disks reported and what the coach’s thought was to be, seem to differ. Next year we need to set guidelines for the entries. There were also many deck entries for "B" swimmers. As for Provincials, everyone should be proud! Marshalling ran very smoothly despite poor weather.

Assistant Director

Asked coaches for feedback at Regionals. Some responded that there were discrepancies in the Starter holds. Suggest some leniency be given to younger swimmers. More help needed for setup at Regionals, as Surrey families did pretty much the entire setup on their own. Suggestion for next year, that we do not have the Regional AGM and Regional setup at the same time. He also noted that if any swimmer is missing a medal from Regionals, to let him know.

Registrar

Need to find someone to replace Winnie, as she is our Provincial Registrar and cannot hold the position as the Fraser South Registrar at the same time!! – see attached description of Regional Registrar Procedures and Responsibilities.

Anticipating a slight increase in the BCSSA registration fee for next season. Winter maintenance fee is $11 per swimmer. First Regional registrars meeting will be held the 1st week of December.

Director of Officials

Main goal last year was to qualify as many people as we could, and would like to keep the same goal for this year. Would like to see each club host an official’s clinic. We only have (1) active Master official and very few Blue pins. Would like to see more consistencies with Starters & Referees.

Treasurer

At this point the Regionals have run at a loss of $1,661.21. Still to come, however, are program sales receipts of approximately $100 (Craig Slater to forward receipts plus report). Expressed concern with T-shirt sales – total cost of T-shirts - $6,860 vs revenues of $4,683. Also noted, that their was a significant increase in the cost of medals.

Bob responded that there were too many (XL) T-shirts (120) and that we had to sell them at a loss. He also has 100 Provincial qualifier shirts that were left over. Crescent Beach has the leftover Regional hats, which since they are not dated, can be sold next year. For next year he will provide numbers for T-shirts and give direction to person ordering. As for the medals, we had a new design this year, which cost approximately $3.25 ea. They are not dated, so same design can be used next year. There were very few medals left over.

Secretary

Nothing to report

Coaches Representative

Felt Regionals ran too late. Head coaches were there until 7:00 on Sunday. Long meets take a lot out of you. Would like to see shorter days for Regionals next year.

Equipment Manager

Recommend the purchase of Hytec meet software. (1) touch pad needs to be purchased . Timing system to be moved from storage to Amelia’s, as storage is too expensive and Amelia has the room. We need to replace all the cables – suggest that cables be marked lane 1 through 8. Will price a new line for the scoreboard, which will enable the lane and placing to be displayed.

Water Polo/Diving/Synchro

Not Present – looking for more interest

4. CLUBS – reminder that each club brings a copy of their current executive listing to the next Regional meeting.

Boundary Bay Winter maintenance has started – going well!

Cloverdale Donna is still President – nothing to report

Crescent Beach Not present

Ladner AGM is coming up; awards went well; have received comments re: Provincial aggregates.

North Delta Head coach Dana Harvey is leaving. Currently in the process of looking for a new head coach.

Richmond Have rehired Head coach. AGM & awards went well. Close to 100 swimmers in maintenance.

Surrey Most positions have been filled. Winter maintenance has started – only received 1 hr of pool time, but did get the entire pool.

White Rock Craig Slater is still President. Have started Winter maintenance – everything is fine!

Special addition:

The Synchronized swimmers who won a Bronze medal at the Olympics will be putting on a show at the Surrey Fleetwood pool November 13th at 5:30pm – 7:00pm
