Minutes of Annual General Meeting

July 27th, 2002

1. MINUTES OF PREVIOUS MEETING

The minutes of the Annual General meeting held August 7, 2001 were approved. Motion to approve by Simonetta Leduc, seconded by Debbie Payne. Motion Carried

3. REPORTS

Regional Director

· Special thanks to Bob Munro, Debbie & Gary Payne, and Margaret Price for all their help with Regionals. Could not have done it without you guys!

· Reviewed the responsibilities of the Regional board – it is not a legal entity, nor is it a fundraising group. Its purpose is to liaise between the Fraser South clubs and the Provincial Board, plus to host the Fraser South Regional’s.

· Reminded all that next year we need to replace long time executive members. It’s the same people every year and we need new recruits.

· Invited everyone to look at our web site for meeting minutes & meet results.

· If you have any questions or concerns to ask your club president to bring them forward to the monthly Regional meetings.

· Distributed memo from Rob Traynor re: Hy-Tek Software – see below motion

· Total registration this season is 957 about the same as last season

Director of Officials

· Thanked everyone for all their work and to those who came to clinics this year.

· Presented a Blue Pin to Craig Slater

Treasurer

· Presented financial statements – see attached. Have $5,000 in a term deposit, $5,339 in the chequing account and $285 in the timing account

· Will be forwarding bills to clubs for this years rule books.

4. ELECTIONS

These people have agreed to let their names stand.

· Regional Director – Pierre Leduc

· Assistant Director(s) – Steve Plummer & Mike Murphy

· Treasurer – Donna Beaton

· Secretary – Anne Munro

· Registrar – Lily Vonic

· Director of Officials – Amelia Werk (until a replacement is found)

· Equipment Chairperson – Firth Bateman

5. OLD BUSINESS

• Allocation of votes at Provincial level
• The following motion was presented to the Provincial Board: “Whereas the Fraser South region believes the BCSSA voting system is inequitable, Fraser South region puts forth the recommendation that the Regions, in total, should have the majority vote and that the Regional vote should be proportional to Regional size.” - This motion was defeated at the Provincial level.

6. NEW BUSINESS

• Registration Program
• Many have expressed difficulties with the new registration program

Motion – to be brought to the Provincial AGM

“The Fraser South region request that the Provincial board look into using the Hytec system and to provide the clubs with a written evaluation in six months.”

Motion by Gary Payne, seconded by Andy Hobbs Motion carried

• Recording of votes at Provincial Board Meetings

Motion – to be brought to the Provincial AGM

“The Fraser South region request that all votes put forward to the Provincial board be recorded.”

Motion by Gary Payne, seconded by Joan Angrignon Motion carried

• Rounding up times

Motion – to be brought to the Provincial monthly meeting

“The Fraser South region recommend that we not round up times.”

Motion by Gary Payne, seconded by Simonetta Leduc Motion carried

• Club duties at Provincial Championship meet
• Pierre to contact each club with regards to their provincial duties
