Minutes of Meeting
February 5, 2003

1. MINUTES OF PREVIOUS MEETING
The minutes of the meeting held
November 6, 2002 were approved. Motion
to approve by Joan Angrignon, seconded by Michelle Curley. Motion carried
2. CORRESPONDENCE - none
3. REPORTS
- Duties for Provincials 2003 will be food service. This is the 2nd year of a two year rotation.
- For additional fundraising –see Husky Community Rebate program – details on BCSSA website.
- Discussed BCSSA Board questions – see New Business
Director of Officials – not present
Treasurer – Currently have $3,600 in
chequing; $200 in timing account; $5,000 term deposit. Reminder to all clubs that have not paid for
their 2002 Provincial Qualifier T-shirts to bring a cheque to the next
meeting. At present we do not have the
breakdown of Provincial Qualifiers by club – suggest clubs to ask their Head
coach for approximate numbers and to pay based on that.
Secretary – nothing to report
Coach’s Representative – asked why we are still using the ASST meet software instead of using software such as HYTEC as used in Winter meets. Will make note that arrangements need to be made to pick up & deliver Regional relay medals for 2003 Provincials.
Equipment Manager – not present
Water Polo – not present
4. CLUBS
Boundary Bay - Winter maintenance going well with about 30 swimmers. All coaching positions have been filled. Are there any posters available for advertising? David Payne is interested in starting a summer diving club out of Winskill – if you have swimmers interested in diving to please contact B4. Is there an ASST clinic for setting up meets? – Pierre to contact office. Raised D & O liability question – see discussion in New Business below. B4 meet date has been set for June 14th & 15th – one week later than their traditional date. In the future it would be appreciated that all clubs discuss their dates together before finalizing them. To move the B4 traditional date by 1 week has created a lot of extra work for the club.
Cloverdale – Everything is going well. Registration packages are ready.
Crescent Beach – not present
Ladner - All coaching positions have been filled. Ladner Development meet has been set for June 18th.
North Delta – not present
Richmond – not present
Surrey - All coaching positions have been filled. Fees have been set for upcoming season.
White
Rock - Winter maintenance is going
well. WRASA mini-meet has been set for
April 5th – club invitations to be sent out soon.
· BCSSA Board questions
- All questions were discussed as per handout, plus 2 additional: Q 12 – Should there be a wild card system established for relay events with empty lanes? – Q13 – Should Summer swimmers swimming in Winter meets, swim “O” in following summer season?
- Club presidents are asked to take questions back to their members for feedback
- Feedback from clubs to be discussed at next Regional meeting.

Directors & Officers Liability
- Directors & Officers of the clubs are covered by insurance at BCSSA Sanctioned meets.
- The basic policy does not cover club events such as “Hot dog” parties.
- It is strongly recommended that each club purchase the additional D & O insurance for “club” events.
-This additional liability
insurance can be purchased through BCSSA .
- Reminder to all clubs that all swimmers MUST be insured before getting into the pool. If something was to happen and the swimmer was not insured, that puts everyone at risk.
- If a swimmer is just trying out the club for the first time, a parental waiver must be signed before the swimmer gets into the pool.

Diving during warm ups
- Suggestion was made that there be a “NO dive rule” during warm-ups at any Fraser South sanctioned meet. There are so many swimmers in each lane during warm ups that allowing diving increases the potential for an accident.
- Suggestion was made that lanes be opened as “Sprint lanes only” in order to allow practice dives.

OLD BUSINESS
- it is up to the coaches discretion – based on overall performance at Regionals.
- to be outlined in meet program
- all dates have been set except for the North Delta Sunfish meet.
- Regional duties were distributed
- Meet package to be forwarded to Pierre before next Regional meeting
- Pool costs have increased $600 over last year
- Proper costing for T-shirts is still needed from last season before statement can be presented
- Need breakdown of the provincial qualifiers by club.
- Some clubs still owe for their Provincial Qualifier T-shirts for 2002.
- Suggest that more programs be printed for 2003
- Michelle reported that it is okay to store the timing system trailer at Randy McCluskie’s parents.
