Minutes of Meeting

February 5, 2003

 

 

Present:     Michelle Curley, Steve Plummer, Don Roper, Simonetta Leduc, Kate Lidstone, Donna Beaton, Joan Angrignon, Pierre Leduc, Robert Pettifer, Anne Munro

 

 

1.  MINUTES OF PREVIOUS MEETING

The minutes of the meeting held November 6, 2002 were approved.  Motion to approve by Joan Angrignon, seconded by Michelle Curley.                                                                                                  Motion carried

 

2.   CORRESPONDENCE - none

 

3.   REPORTS

 

Regional  Director

-          Duties for Provincials 2003 will be food service. This is the 2nd year of a two year rotation.

-          For additional fundraising –see Husky Community Rebate program – details on BCSSA website.

-          Discussed  BCSSA Board questions – see New Business  

 

Assistant Director(s) – see Regionals 2003 below

 

Registrar – Still need support for registration software as problems still exist.  Have received disks and will be forwarding them to clubs soon.

 

 

5.       NEW BUSINESS

 

·         BCSSA Board questions

 

-  All questions were discussed as per handout, plus 2 additional: Q 12 – Should there be a wild card system established for relay events with empty lanes? – Q13 – Should Summer swimmers swimming in Winter meets, swim “O” in following summer season? 

- Club presidents are asked to take questions back to their members for feedback

- Feedback from clubs to be discussed at next Regional meeting.

 

·         Directors & Officers Liability

 

- Directors & Officers of the clubs are covered by insurance at BCSSA Sanctioned meets.

- The basic policy does not cover club events such as “Hot dog” parties. 

- It is strongly recommended that each club purchase the additional D & O insurance for “club” events.  

-This additional liability insurance can be purchased through BCSSA .

- Reminder to all clubs that all swimmers MUST be insured before getting into the pool.  If something was to happen and the swimmer was not insured, that puts everyone at risk.

- If a swimmer is just trying out the club for the first time, a parental waiver must be signed before the swimmer gets into the pool.

 

·         Diving during warm ups

 

-  Suggestion was made that there be a “NO dive rule” during warm-ups at any Fraser South sanctioned meet.  There are so many swimmers in each lane during warm ups that allowing diving increases the potential for an accident.

-  Suggestion was made that lanes be opened as “Sprint lanes only” in order to allow practice dives.

 

 

 

 

 

6.       OLD BUSINESS

 

- it is up to the coaches discretion – based on overall performance at Regionals.

- to be outlined in meet program

 

- all dates have been set except for the North Delta Sunfish meet.

 

 

- Regional duties were distributed

- Meet package to be forwarded to Pierre before next Regional meeting

- Pool costs have increased $600 over last year

- Proper costing for T-shirts is still needed from last season before statement can be presented

- Need breakdown of the provincial qualifiers by club.

- Some clubs still owe for their Provincial Qualifier T-shirts for 2002.

- Suggest that more programs be printed for 2003

 

 

- Michelle reported that it is okay to store the timing system trailer at Randy McCluskie’s parents.
